Privacy Notice

How Alicedda Catering Services collects, uses, shares and protects personal information.

This Privacy Notice explains how Alicedda Catering Services uses personal information. It should be read with the Cookie Notice and the customer terms. The final notice must identify the real legal controller.

11.1 Controller and contact

ALICEDDA CATERING SERVICES LIMITED, trading as Alicedda Catering Services, is the controller for the personal information described in this notice. 11.2 Information we collect

  • Identity and contact details, such as name, email, telephone number and address.
  • Account and authentication information, including account identifiers and security records.
  • Order, quotation, booking, event, delivery, collection, guest-number and service information.
  • Payment information and records of cash or bank-transfer verification. We do not require online-banking passwords or security codes.
  • Allergy, intolerance, coeliac, health-related and dietary information where provided for safe fulfilment.
  • Information that may reveal religious or philosophical beliefs, for example a declared Halal or Kosher requirement, where the context makes this personal information.
  • Messages, complaints, website live-chat conversations, WhatsApp contact records supplied to us, call notes and customer-service history.
  • Technical and security information, such as IP address, device/browser data, login records, consent records, error logs and audit events.
  • Images, testimonials or event content where a separate permission or agreement applies.

11.3 Why we use information and lawful bases

We use ordinary personal information where necessary to take steps at your request, perform a contract, comply with legal obligations, pursue legitimate interests that do not override your rights, or where you have given consent.

Health-related allergy information and information revealing religious or philosophical beliefs can be special category data. We normally ask for explicit consent to use it for menu assessment, Allergy Review, safe preparation, labelling, delivery and service. In a genuine emergency, another lawful condition such as vital interests may apply. We document the lawful basis and special-category condition before processing.

11.4 Purposes

  • Create and manage accounts.
  • Respond to enquiries and prepare quotations.
  • Accept, fulfil and administer orders and bookings.
  • Assess allergies, dietary requirements and food-safety risks.
  • Arrange delivery, collection, serving staff and tableware.
  • Verify cash and bank-transfer payments and handle refunds.
  • Communicate service information and respond to complaints.
  • Maintain security, prevent fraud, keep audit records and troubleshoot the platform.
  • Comply with food, tax, accounting, consumer, data-protection and other legal obligations.
  • Improve services using appropriately limited operational analysis. Optional analytics or marketing cookies are not used without the required consent.

11.5 Allergy and dietary information

Please provide only information relevant to safe fulfilment. If you provide information about another person, such as a guest or child, you must be authorised to do so and should share only what is necessary. Withdrawing explicit consent may mean we cannot safely provide the affected item or service, but withdrawal does not make earlier lawful processing unlawful.

11.6 Who receives information

  • Authorised Alicedda staff and contractors who need the information for their role.
  • Hosting, database, authentication, email, storage and technical providers acting under appropriate terms.
  • Delivery, venue or service partners where necessary and appropriately controlled.
  • Professional advisers, insurers, auditors and accountants.
  • Public authorities, regulators, emergency services or courts where required or lawfully necessary.
  • WhatsApp/Meta when you choose to open or use WhatsApp. WhatsApp applies its own terms and privacy practices.

11.7 International transfers

Some technology or communication providers may process information outside the UK. Where required, we use an adequacy regulation, UK International Data Transfer Agreement, UK Addendum or another lawful safeguard, and assess the protection available. The providers we use and the safeguard applied to each are recorded in our internal provider register, which is available on request.

11.8 Retention

We retain information only for as long as needed for the purpose, legal obligations, complaints, insurance and claims. The Data Retention Schedule gives the current intended periods. Allergy and dietary details should be removed from active operational views after fulfilment when no longer needed, with any necessary restricted record retained only for a documented reason.

11.9 Security

We use role-based access, authentication, row-level database controls, audit logs, private storage and other proportionate safeguards. No internet system can guarantee absolute security. Please tell us promptly if you believe information or an account has been compromised.

11.10 Your rights

  • Access personal information and receive a copy, subject to lawful limits.
  • Ask for inaccurate information to be corrected.
  • Ask for deletion where there is no overriding lawful reason to retain it.
  • Ask us to restrict use in certain circumstances.
  • Object to processing based on legitimate interests or direct marketing.
  • Receive certain information in a portable form where the law applies.
  • Withdraw consent at any time where processing relies on consent.
  • Complain to Alicedda and to the Information Commissioner’s Office.

11.11 Requests and identity checks

Send a request to enquiries@aliceddacatering.com. We may need proportionate identity information. We will not ask for unnecessary copies of sensitive documents. We respond within the legal time limit and explain any lawful extension or refusal.

11.12 Data-protection complaints

You can raise a data-protection complaint using the same contact. We will acknowledge it within 30 days, investigate appropriately and communicate the outcome. You may also complain to the Information Commissioner’s Office.

11.13 Children

The website is not directed to children placing their own catering contracts. A parent, guardian or authorised adult should provide information needed for a child’s order or event. We minimise children’s information and restrict access.

11.14 Automated decisions

We do not make solely automated decisions that produce legal or similarly significant effects about customers. Availability, allergy and risk flags support authorised human review where appropriate.

11.15 Changes to this notice

We publish the current version and effective date. If a material change affects an existing booking or the use of sensitive information, we will provide appropriate notice and obtain consent where required.
