4.1 Enquiry and availability
A catering enquiry does not reserve a date. We will assess date, location, guest numbers, menu, staffing, equipment, delivery, venue access and allergy requirements before issuing a quotation or confirming availability.
4.2 Quotation and booking confirmation
The quotation will identify the scope, event date and period, menu or service assumptions, estimated guest numbers, price, payment schedule, validity period and any specific exclusions. The date is reserved only when the stated acceptance steps are completed and we issue a booking confirmation.
4.3 Reservation payment or deposit
Any reservation payment or deposit will be stated clearly in the quotation. It is applied toward the total price. If the customer cancels, the amount retained must be fair and reflect actual loss or a reasonable pre-estimate of loss, not an automatic penalty. If Alicedda cancels where the customer is not at fault, payments for services not supplied will be refunded.
4.4 Guest numbers and final details
The customer must provide final guest numbers, menu choices, allergy information, timings, access information and tableware or staffing requirements by the deadline stated in the quotation or booking confirmation. Where no earlier deadline is stated, final details must be confirmed at least 72 hours before the event, in line with our standard 72-hour lead time. Reductions after that deadline may not reduce the price where costs and capacity have already been committed, but we will not retain more than is fair in the circumstances.
4.5 Venue and access responsibilities
- Obtain venue permission for catering, heating, cooking, serving, deliveries and waste handling.
- Provide accurate access times, parking, loading, stairs, lifts, security and contact arrangements.
- Provide agreed utilities, preparation space, handwashing, refrigeration, power, water and safe working areas where the quotation requires them.
- Tell us about venue restrictions, fire rules, induction requirements and other relevant controls.
4.6 Event timings and delays
We will work to the agreed schedule. If the event is delayed by the customer, venue or another supplier, additional staffing, waiting, transport or food-safety costs may arise. We will explain and seek agreement to additional charges where reasonably possible. Food may not be safely held beyond applicable limits.
4.7 Leftovers
Where food safety permits, the customer may request suitable leftovers. We may decline where safe storage, temperature control, labelling or traceability cannot be maintained. If leftovers are released, the customer is responsible for following written storage and reheating instructions from that point.
4.8 Customer-provided food or equipment
We are not responsible for the quality, safety or legality of food, drink or equipment supplied by the customer or another supplier, except to the extent that our own negligent handling causes loss. We may refuse to handle an item where doing so would create a food-safety, allergy, legal or operational risk.
4.9 Specific-date service and cooling-off rights
Catering booked for a specific date or period is generally excluded from the standard statutory 14-day cancellation right for distance contracts. Personalised and rapidly perishable goods may also be excluded. Where a statutory cancellation right does apply, we will honour it. The contractual cancellation rights below apply in addition to any mandatory legal rights.
